Privacy Policy

We are a family business that undertakes genealogical research and provides archival services for example cataloguing and data entry. To enable us to do this we need to collect certain information from you. All information provided is held in confidence. We take the confidentiality and privacy of any personal information provided by you very seriously.

Information provided by you

  • For communication and research purposes we would request; name, address, email address, telephone number, name or names to be researched, date of birth, place of birth, marriage date and place of birth, any children and details of any known ancestors.

How this information is used

  • The information provided by you will solely be used for genealogical research or for the purposes agreed by the client in writing for bespoke research, or to provide archival services.
  • The information supplied will also be used in communication with you and to supply the final product.

The length of time we hold your information

  • We are required by the HMRC to hold your information for seven years. After this date the information will be securely destroyed.
  • All family trees and genealogical information will be held for three years from the date the research was commissioned. So that further copies may be requested by you for family members or to commission further research. This deadline can be extended or shortened by written request, to comply with GDPR guidelines. 

Sharing information

  • We will not share personal information with third parties for marketing purposes.
  • We may be requested to supply certain information for the purpose of identifying ancestors on online search resources or while searching original records in archive repositories. This may include record offices and other premises that store archives for research purposes.
  • You have the right to ask us for copies of your personal information
  • You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.

Information corrected or removed

  • For any inaccurate or incomplete personal information held by us you have the right for this information to be corrected or completed.
  • You also have the right for any personal data held by us to be erased, subject to the requirements set out by the HMRC for accounting purposes.
  • You can also request that your personal information is stored but not used.

Client’s permission to share information

  • By commissioning research from us and by supplying information on living relatives you are giving us permission to use that information for the purposes of genealogical research.

 

How to complain

You can also complain to the ICO if you are unhappy with how we have used your data.
